Dear Professor Smith，

I am writing this email to you to give a brief account of the preparation for a debate with regard to the topic of city traffic. Because the traffic jam brings great inconvenience to our life, it is high time to give some solutions to address this pressing problem.

In my view, three things should be prepared before the meeting will be held. First of all, we should plan in advance for the arrival time and arrange for someone to pick them up in the railway station. In addition, as far as I am concerned, all phones should keep quiet during the conference. Last of all, we had better collect some questionnaires.
